GUIDELINE FOR EXHIBITORS & SPONSORS
Step 1: REGISTRATION & BOOTH SELECTION
All the bookings have to be made ON-LINE.
You would need to read the Terms & Conditions.
We reserve the right to reject a reservation if we know that it is not appropriate to the concept and regulations of the event.
EARLY REGISTRATION WILL ENJOY BIG BENEFITS of GOOD LOCATION, DISCOUNTS AND MARKETING CAMPAIGNS, etc...
Step 2: CONFIRMATION & PAYMENT
UNPAID TICKETS are not Valid until payments has been made.
Step 3: MARKETING MATERIAL FOR EXHIBIT
Provide soft copies of your company profile, logo, name, your selected advertisements at the event, a statement of less than 100 words by your organization's representative addressing what you want to share with the buyers or what values you are going to deliver to the buyers at the event together with the photo of this representative.
Those materials could be extracted for the official advertisements of the event.
All those information has to be submitted the earliest to us or at least 30 days before the show day. Even though we don't give any guarantee to include a part of your materials in our official ads (unless you are a sponsor of a sponsorship package with marketing benefits), the earlier you provide those materials, the more exposure benefits to the buyers you possibly enjoy with the event's official advertisements.
***Note: if you have any promotion campaign to be marketing for this event, you would share with us those information and we may find suitable way to inform the buyers those campaigns in our show's official marketing campaigns.
Step 4: SETUP & FACILITY BOOTH FOR EXHIBIT
We provide only the standard booths (shell scheme space booth) or desk booths with limited facilities.
Should you have any other requirement as furniture / printing / staff support / translator for your booth(s), please send the details to the Support Team (email@example.com). We have our production team to be able to handle your requirements: design, printing, producing, installation... (posters, backdrops, banners, standees, etc...).
We suggest you to provide us your requirements the earliest or at least 20 days before the show day.
We reserve the right to reject a requirement if we see it is not appropriate to the objectives of the event or we don't have enough time to do it.
Step 5: EXHIBITOR INFORMATION
At least 10 days before the show day, you have to provide us the names, photos, titles, emails, phone numbers, passport / ID copies of members of your team at the event for our process of issuing the entrance badges.
Unless otherwise specified we limit max. 2 persons for 01 booth, extra people have to register for seller passes.
1/ if you use another contractor for making your booths, you have to register this contractor with us. We reserves the right to reject this contractor if we see that their qualification is not suitable for doing the jobs at our event.
2/ SCANNING OF ALL MATERIALS: To ensure all materials that should be free from any information which are politically and culturally sensitive, please send all of these materials (in soft copy) to us for review. Information must be sent to us at least 20 days before the show day via firstname.lastname@example.org.
a. MARKETING MATERIALS: all marketing materials to be used/displayed at the booth/seminar/speech (including artworks, standees, brochures, leaflets, flyers, handouts, video clips, etc.)
b. SEMINAR MATERIALS: presentation slides, video clips, etc.
c. SPEECH MATERIALS: speech description, etc.
Please note, despite the VnOPI Fair Organiser will do our best to review and scan your materials, your company shall still fully be responsible for all the information provided/published/used including translations during the Fair. Your company shall imdemnify the VnOPI Fair Organiser from all claims, charges, litigations from any Vietnamese authorities / organizations / individuals who have access to, or receive such materials directly or indirectly from your company.
